2008 Alumni Meet - A Recap

Dear all,

Here is my attempt to recap the 2008 Alumni Meet held in Gorakhpur on Nov 29-30. I have tried my best to represent the feelings of the broader alumni community but if there is something that I have not accurately represented or omitted, please feel free to add. In the meantime I have published this to the Discussion Board on the college website.

It was an overall pleasurable experience to re-visit the college. There were some notable improvements in the basic civil infrastructure compared to the last trip I made in 2006, e.g. road conditions, mess hygiene and operations, guest house accommodations, hostel bathrooms, etc. The construction of the cafeteria is in progress. Need to know the plan for its completion and the sources of funding that are being utilized for its construction.

However, this improvement should become a continuous process so that the conditions do not go downhill again. Additionally, the authorities should put in place a repeatable process to make it less person dependent than it currently is.

A pre-meeting session was conducted on Nov 28th evening led by Dr. B N Singh (1989 Electrical), Mr. Mukul Sharma (1989 Comp. Sc.) and Mr. Prashant Dube (1998, ECE) and had healthy participation from students. The event followed an open Q&A format which allowed for a broad coverage of topics ranging from power electronics to core vs. non-core dilemma to soft skills. There should be more such sessions planned with a broader cross-section of alumni.

The main event started on the morning of Nov 29th with the registration process. Altogether, about 100 alumni participated in the 2 day event from as far away as USA and Sweden. The bonus this year was the gracious presence of about 10 alumni spouses, some of which were visiting the college for the fist time but never felt that way due to the extreme camaraderie exhibited by other fellow alumni, staff as well as current students.

This year, the Alumni Meet Registration fee was increased to Rs. 2000 this year from Rs. 1000 and Rs. 500 for 2007 and 2006 respectively. The increase, however, seems unwarranted for three reasons - i) the event should be a college funded event pretty much like the annual cultural meet and other annual events with no registration fee whatsoever, ii) with a lack of transparency on the utilization of funds, credibility issues have started arising as for the appropriate utilization of funds and iii) the increased fees will act as a deterrent for the folks who are on the threshold of going and not going.

We understand the need to generate Alumni funding but that needs to be a separate process from the meet registration fees. Alumni Fund generation should be made a well planned and coordinated process with a sub-committee formed with a special focus on it. Also, funding needs to be based on certain identified initiatives with clearly defined collection and utilization goals.

On the above note, Mr. Mahesh Swamy (1983, Electrical) presented a check for US $450 to Mr. Sudhir Agrawal, Secretary Malaviya Alumni Association (MAA), on behalf of the Midwest USA chapter of MAA. This fund was collected by nine alumni who had met in Chicago for a mini meet in August 2008.

Throughout the event, a need for better time management was felt. Even though there was an agenda in place but the timings were not well controlled leaving some of the key areas to be under-served during the event. Also, the discipline for having controlled breaks need to be enforced more.

The format for the Alumni Meet needs to be changed to allow more time for constructive brain storming for generating ideas for the uplift of the college. This time, like the previous times, a lot of time was spent on the introductions only (we got done with these at 6:30PM on Day 1). Also, the cultural event can be truncated or totally eliminated to free up time for the constructive focused sessions on focused topics.

Next time around, some of us alumni should get more involved in setting up the agenda and the format of the 2 day meet utilizing our experiences gathered from attending and organizing similar professional events with a keynote, plenary, breakout session type format. There should be sessions targeting relevant current topics to each branch addressed by panels of alumni from that branch.

Alumni Recognition Awards were presented to Mr. Mahesh Swamy for Research & Development, Dr. B. N. Singh and Dr. Uday Shanker for Academic Excellence and Mr. Ravi Rai for Community Service categories.

Later in the evening of Nov 29th, a focused session was conducted on the role of T&P by Dr B N Singh and Mr. Mukul Sharma with Prof Prasad and T&P staff reps from each branch attending. Dr B B Singh, Principal, also graced the meeting with his presence. The discussion centered around i) how to prepare for the reduced hiring in a slowed down economy, ii) role of T&P cell in shaping up students' personality and the help it can provide to the students in making the right career choices and iii) coming up with an action plan to create potential Career Maps relevant for each branch. Prof Prasad graciously committed to come up with a plan by end of December to develop these maps for each branch with a clear goal of having these developed in the following 6 months.

Even though the cultural event was cancelled due to the state of national mourning declared due to ex-Prime Minister V P Singh's death, there was an informal get together held between the students and the alumni in the Multi Purpose Hall after all the scheduled events had finished. Everyone attending including the alumni spouses had a great time with music, masti and more.

On Day 2, a friendly cricket match was conducted between the alumni and the students. The match was organized at the playing grounds with a lot of enthusiasm demonstrated by alumni, faculty and students alike.

Thereafter, a talk was organized for the Electrical/Electronics branch students by Mr. Mahesh Swamy on the subject of Power Electronics (a core topic). This was an event which should have been given more time and priority but was reduced to only about half hour due to the issues mentioned around time management earlier.

The event concluded with awards being distributed by Mr. S. S. Bhandari (1983, Mechanical) to student volunteers who demonstrated their all round personality as organizers of the meet and as participants in the cultural program.

Overall, the hospitality team consisting of students and staff alike deserves kudos for taking good care of all the needs of the alumni attending. The coordinated planning of pickups, drop-offs and all the impromptu requests in between were well attended to in a very timely manner.

Thanks.
